About the Opportunity
Portfolia is seeking an Executive Assistant to support its CEO/Founder. The candidate will be proficient with a wide range of responsibilities, including managing in-box and external communications; managing executive priorities and team follow-up; supporting CEO with presentations and reporting; overseeing CEO special events; document and knowledge management; and, special projects and research. Our ideal candidate is an organized self-starter with an entrepreneurial mindset, a sense of urgency, and the ability to handle ambiguity.
Role & Responsibilities
Filter and manage all incoming communication to the CEO, and manage/draft and prioritize external communications
Oversee work priorities and manage content and flow of information.
Manage CEO schedule including agendas, email, calls, travel arrangements, client management, and other company logistics
Assist with investor reporting, agendas, meetings, follow-up and communications
Manage CEO’s speaking and presentation schedule, coordinating materials and powerpoint and follow-up
Monitoring and VIP and Investor Relationships
Coordinating special projects and research on behalf of the CEO
Organize team communications and oversee events, both internally and offsite
Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
Skills & Qualifications
5 years of high-level EA experience, with exemplary performance, in similar positions
Bachelor’s degree or equivalent work experience preferred
Proficiency on GoogleSuite, PowerPoint, Zoom, Slack and CRM systems, or the ability to ramp quickly to multiple internal tools
Excellent organizational and planning skills with the ability to successfully prioritize and manage multiple projects simultaneously
Must be able to create new processes and structure in a fast-moving, multi-tasking
Superior written and oral business communications skills, with the ability to comfortably and professionally interact with colleagues at all levels
Organized self-starter with an entrepreneurial mindset, a sense of urgency, and the ability to handle ambiguity.

Location
Company HQ in the San Francisco bay area. Open to other metropolitan locations for the right candidate. We offer competitive salaries and benefits and flexible holidays and working arrangements.
Compensation
$80,000 – $100,000, plus stock options, dependent on relevant experience and performance
